Job Description
Job Purpose
IT Manager is responsible for overseeing the organization’s technology infrastructure, ensuring systems are secure, efficient, and aligned with business goals. This includes managing IT projects, leading the IT team, and providing ongoing support to ensure the company’s technology runs smoothly and securely.
Key Accountabilities
BASIC FUNCTION
HARDWARE: Ensures that the hotel works with Accor Hardware partners. Has a good relationship to Hard-ware Partners. Supports the Hotel in resolving Hardware issues through escalation of issues with Hardware partners. Considered as Hardware: Computers, Servers, Routers, Switches, Cables, PABX, Monitors, and Screens, Point of Sale devices, all relevant interfaces, UPS and related devices, and other active components.
SOFTWARE: Ensures that all Accor IT Policies and Guidelines are being applied in the hotel. Ensures that only original and properly licensed application programmed according to the IT management’s policy and requirement are running on the hotel’s systems and computers. Has a good relationship to the Software suppliers. Supports the hotel in resolving Software issues by escalation of issues to Software suppliers.
USER: Ensures that no user in the hotel has access to programs other than needed to perform the job. He/she is in charge to provide and maintain a training program (in coordination with the Training department). This is to enable the best possibly know how, skill level and use of systems by all employees in the Hotel.
SECURITY / DATASAFE: Is responsible for compliance of the Resort with Accor IT Security Policy. Is re-sponsible for the data safe/ backup of all relevant user generated data, be it part of the general system or personal systems. He/she assures that at all times relevant backup policies are duly respected and the system reaches the highest level of security.
MANAGEMENT: Is responsible for the proper planning and budgeting of IT expenditures for the Hotel, as well as for compliance with the Accor IT policies and guidelines. Is creating business cases for justification of investments and expenditures to support the approval process. Is responsible for a regular status report about the Hotels actual IT situation to the GM and to the Area IT responsible. Initiates and manages IT projects and consults the GM in strategic IT matters concerning the Hotel.
RESPONSIBILITY & AUTHORITY
More detailed duties and responsibilities are listed attached in form of a checklist and are not meant to be complete. Local legislation and requirements may ask for adaptation and amendments. To fulfil the duties the jobholder is given the relevant authority to reach the goals by the Regional Information Officer of the Regional Hotel operation.
HARDWARE
A. Takes care of correct handling of hardware, peripheral equipment, proper working conditions (Temperature, Power earthing, etc.) and the training of staff to use and maintain the equipment they need for their daily work.
B. Maintains good relationship to local hardware dealers and maintenance contractors.
C. Responsible for Hardware Maintenance.
D. Knows about content and rules to be respected de- scribed within our hardware maintenance contracts and does not interfere in stipulated rules of conduct.
SOFTWARE
A. Ensures that all software handbooks and manuals are available to users and that newer versions always re- place older versions as instructed or according the guidelines agreed with Corporate Information Tech- neology.
B. Uses and installs software in accordance with the soft- ware licensing laws and installs only correctly li- censed software. Software licenses are to be filed in a safe place in case of inspection.
C. Copyright: Any kind of developed software or re- lasted programs or applications produced in the hotel and/or with hotel’s equipment or within regular duty remains at all times integral property of the hotel op- elation.
D. He/she is aware about the company standard and therefore adheres to it for implementation.
SECURITY / DATASAFE
A. Acts as Data Security Officer for the systems and is therefore responsible for operational OS, program and data security. Ensures the integrity and back-up of data within the user files.
B. Supervises and/or performs the back-up procedures of the software and ensures that total backups are per- formed at regular intervals and are kept in a secure place to ensure that the operation will not suffer in case of a disk crash or other hazards.
C. Two times a year and as instructed by the Corporate Information Technology he/she executes a practical Restore to check if operated backup procedures are working 100 per cent.
D. Monitors and adjusts file sizes and file activities and analyses problems before they influence the opera- Tion.
E. Scans all storage material regularly for viruses, in- stalls virus detection software, and at all times is aware of virus infection by restricting access to floppy disk drives and hard disks by user directly.
F. Acts in accordance with the Data Processing and Data Protection laws of the country and keeps related confit- identicality at all times.
G. Responsible for the safe storage of all user authorizations (user id and passwords) for all applications within the Hotel as well as for the management of new user author- stations or changes to existing authorizations.
MAMANGEMENT
A. Responsible for IT Expenditure planning, budgeting and approval process for the Hotel.
B. Is responsible for Compliance with the IT Policies and Guidelines.
C. Writing of a monthly report to the GM and to the Direct- tor of IT Area XYZ.
D. Keeps all systems, networks, hardware and software properly documented at all time.
GENERAL / MISCELLANEOUS
A. Informs IT management regularly about new trends and experiences in other sister or competitor hotels re. IT matters.
B. Is always reachable within and outside the Hotel by any kind of communication device for problems occurring during and outside of his/her duty time in the hotel operation.
C. Will train all staff to use the software to the advantage of their performance and to the hotel’s benefit in increasing efficiency. This training has to be coordinated monthly with the Personnel & Training Manager and the Director of IT Area XYZ.
D. Is familiar with all related company documentation and especially with the relevant Operational Standards Manual for his/her field of responsibility.
Is ensuring within the property that the Data quality can be maintained by the operations people. (Properly running systems, proper training to the users for usage of systems, eventually process reviews with the responsible department heads, recurring review of data quality, etc.)
