Job Description

To provide high-level administrative, organizational, and strategic support to the COO, ensuring efficient operation of the executive office. The role requires discretion, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities:

  • Manage the COO’s calendar, including scheduling meetings, appointments, travel, and logistics.

  • Prepare briefing materials, agendas, and minutes for executive meetings.

  • Act as the first point of contact for internal and external stakeholders on behalf of the COO.

  • Screen emails, calls, and correspondence, ensuring timely follow-up and delegation as needed.

  • Support in the preparation of reports, presentations, and executive dashboards.

  • Coordinate complex travel arrangements and prepare detailed itineraries.

  • Handle confidential information with the utmost discretion and professionalism.

  • Assist in project tracking, status updates, and ensuring deadlines are met.

  • Liaise with department heads and key stakeholders to follow up on action items.

  • Organize internal and external events and manage administrative office tasks.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.

  • 3–5 years of experience in a similar role supporting C-level executives.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and business communication tools.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills in English (Arabic is a plus).

  • High level of integrity and confidentiality.

  • Ability to work independently and manage multiple priorities with minimal supervision.

Preferred Skills:

 

  • Experience in working within a fast-paced, corporate environment.

  • Familiarity with executive project tracking tools.
